The Challenge

Patrick McGovern, Executive Director of the Acacia Fraternity, was responsible for overseeing all daily operations of the fraternity's International Headquarters — chapter operations, membership records, Leadership Consultants, and office staff. With just 6–9 people serving 1,700 undergraduates and 25,000 living alumni, the workload was relentless.

"I needed help. I was overwhelmed."

The challenge wasn't simply volume — it was the nature of the tasks themselves. Much of the detailed work lived only in Patrick's head, with no clear path to delegation.

"There was lots of little detailed work that I [wanted] done, but maybe only I knew how to do it. And didn't really have anybody to delegate to because the rest of the staff had full plates — and that was just really dampening my optimism and enthusiasm."

His inbox had become a trap. Administrative tasks consumed the time and mental energy he needed for higher-level leadership and strategic vision.

"I was living out of my email inbox and scheduling meetings, [and it] seemed to take up all my time and drain me of the energy to do higher-level thinking and [casting] vision. It got to a point where I was having trouble making progress on some things that were important."

The Solution

Working 45 hours a month together, Kate took ownership of Patrick's email management and calendar, and began facilitating a complex database migration.

The key to their early progress was mutual grace and consistent communication. As Kate describes it:

"Patrick has been such a great mentor [as] it took a lot of training for me to get up to speed. But we just trusted the process and sat down every day and, 'OK. What are the priorities?' And in a pretty short amount of time, we made a lot of progress!"

Email organization delivered Patrick's first real sense of relief. Kate filtered incoming messages into priority folders, reducing the anxiety that came with a constantly active inbox. Over time, the scope of her support expanded — including managing personal scheduling like doctor's appointments — something Patrick admitted took "hearing several times" before he was willing to hand off. Once he did, he described a recurring "little spark of joy" each time a task was handled without his involvement. Kate's goal remained consistent throughout:

"Our goal is trying to take more and more off Patrick's plate."

The impact of Kate's support became most visible during one of the most personally demanding periods of Patrick's life, as he balanced his professional responsibilities with caring for his father. Rather than momentum stalling, the work continued — and colleagues took notice.

"I feel like I go in there less frequently, and I also feel less anxiety when I'm not in there because I know she's keeping an eye on it."
