Client Success Story

How James Alvich Freed His Team from Admin Overload with BELAY

James Alvich
Co-Founder, MAS – Music and Strategy

"For a long time, I wasn't relying on anyone, and I didn't think that I'd ever be able to rely on someone. When I started realizing that these things were getting done more efficiently and better than my own method of doing it, I became more reliant upon it and appreciative of it."

The Challenge

James Alvich, co-founder of MAS – Music and Strategy, built a creative music company that serves top brands and agencies from offices on both coasts. But beneath the surface of a growing operation, a recurring problem was quietly holding the team back.

Junior employees hired for specialized creative and strategic roles were also shouldering the administrative workload of senior leadership — scheduling, correspondence, logistics, and more. As those employees earned promotions, they continued carrying those admin tasks alongside their new responsibilities, and upward growth stalled as a result.

"I always felt that was problematic in terms of a smaller company like our own, whereas somebody who starts doing one job probably doesn't want to still be doing that while they take on new responsibilities."

James recognized the pattern was unsustainable. He needed a dedicated solution — someone whose sole focus was executive support — without the overhead of a full-time hire.

The Solution

James turned to BELAY and was matched with Virtual Assistant Madeleine McAdoo, whose sole focus was supporting James directly and absorbing the administrative overflow that had long burdened the internal team.

With Madeleine in place, James could delegate tasks confidently, knowing they would be handled with full attention and ownership. From managing correspondence and reservations to mailers and outreach, Madeleine took on the work entirely — and proactively found better ways to get it done.

"With having my VA, I was able to offload all of those administrative tasks and additional tasks related directly to me. It made a huge difference, especially to the team and the morale."

Client gifting became a major area where Madeleine created real operational structure, building a system for packaging, shipping, and labeling gifts in mass quantities. James also valued that working through BELAY meant accountability and institutional support beyond what a freelancer could offer — giving him peace of mind and continuity in the event of a staffing change.

"Not worrying about something getting done allows full focus on another task. The ultimate delegators are the people who also are visionaries. If you can delegate and respectfully understand that your team can handle all of these things, it makes you a better leader for them and for everyone else."

The Impact

The results were felt quickly — and personally. James, who had long been reluctant to delegate, found himself increasingly relying on Madeleine as tasks were completed more efficiently and thoughtfully than he had managed on his own.

"For a long time, I wasn't relying on anyone, and I didn't think that I'd ever be able to rely on someone. When I started realizing that these things were getting done more efficiently and better than my own method of doing it, I became more reliant upon it and appreciative of it."

The greatest impact was the return of James's most valuable resource: time. No longer distracted by a growing to-do list in the back of his mind, he could focus fully on MAS's creative work and the strategic vision that drives the company forward.

"Time is probably the most valuable asset and currency, and having more of it allows me to do more for my clients and the business."

The benefits rippled through the entire team as well. With a dedicated person handling client gifting, swag, and outreach, the whole staff shared a sense of relief — and James stepped into his role as a more present, effective leader.
